Communications Co-op (1.0 FTE, 4 month term)

The Canadian Sport Institute Pacific (CSI Pacific) is seeking an enthusiastic and committed individual for the position of Communications Co-op. The Communications Co-op student will act as a major coordination point for corporate communications and communications support leading up to and during the Tokyo 2020 Olympics & Paralympics. This position will feature a combination of administration, coordination, writing, graphic design, web design and social media, allowing the co-op student to get their hands on all aspects of corporate communications in a high-paced environment.

Leading up to the Games, the student will learn how the organization works with numerous other stakeholders, each with their own unique requirements.  With certain stakeholders (e.g. B.C. Provincial Government and other governmental agencies) requiring absolute accuracy on all their requests often in extremely short time-frames, the student will have a great opportunity to work on accuracy, organization, prioritization and corporate communication to ensure all external stakeholders’ needs are met.

The co-op placement will also be responsible for much of the social media, newsletters for external partners and press releases during the Games.  This will provide the opportunity for the student to differentiate between voices based on different social media channels and tasks and how and when to keep a corporate voice throughout all the differing tasks.

The student will also work on various internal design, writing and web projects, as needed, allowing them the opportunity to work on corporate communications within CSI Pacific’s existing brand, thereby finding the blend of creativity and corporate look and feel.

KEY DELIVERABLES & SPECIFIC DUTIES:


COORDINATION OF TOKYO 2020 ATHLETE DATA


Collection and organization of data for athletes competing at Tokyo 2020 Olympics & Paralympics

  • Organization of data based on multiple parameters for a variety of stakeholders
  • Ensuring data is up to date and 100% accurate, due to the importance of data accuracy for each stakeholder
  • Attending meetings and representing CSI Pacific in place of the General Manager, Operations & Communications, as required

MAINTENANCE AND UPDATE OF CSI PACIFIC WEBSITE

Updating website daily to prepare and show results of CSI Pacific’s registered athletes at Tokyo 2020

  • Being on top of which athletes are competing in which events and on which dates during the Tokyo 2020 Games and adjusting the website accordingly

General website updates

  • Updating website for all regular updates and website changes, as required

SOCIAL MEDIA MANAGEMENT

Updating all corporate social media channels

  • Creating graphics and posting updated athlete data and results based on the 2020 Games to all three main CSI Pacific social media channels

Coordination of social media info

  • Collection of all social media handles for all registered athletes and partner National Sport Organizations in preparation for the Games

General social media management

  • Updating CSI Pacific’s social media channels with regular updates, as required

WRITING


Daily newsletter writing during the Tokyo 2020 Olympics and Paralympics

  • Updating of all events completed and upcoming featuring CSI Pacific’s registered athletes
  • Coordination of newsletter mailing lists and daily mailouts

Corporate communications

  • Writing & editing of / collaboration on press releases for CSI Pacific and their external partners
  • Writing & editing of internal communications, as required

DESIGN

Design of and/or adjustment of internal graphics, as required

  • Creation of new design projects or adjustment to existing projects, based on CSI Pacific’s style guide, as directed by General Manager, Operations & Communications

ADMINISTRATION

Fulfill administrative duties, as needed

  • File organization
  • Organization and labeling of photo library
  • Additional administrative tasks, as required

QUALIFICATIONS & EXPERIENCE:

  • Enrollment in a post-secondary business or communications program with a minimum of year 2 completed. Please highlight any relevant coursework in your application
  • Certificates or relevant courses in Adobe Creative Suite Skills (Photoshop, Illustrator)
  • Experience in professional communication (Writing press releases, emails to external partnerss

KNOWLEDGE, SKILLS, & ABILITIES:

REQUIRED:

  1. Intermediate to advanced WordPress Skills
  2. Intermediate to advanced Adobe Creative Suite Skills (Photoshop, Illustrator)
  3. Social media aptitude (Twitter, Instagram, Facebook)
  4. Writing and grammar skills
  5. Attention to detail is critical to this role
  6. Variable work schedule during the Olympics and Paralympics (see working conditions below)

DESIREABLE:

  1. Basic to intermediate HTML
  2. Corporate communications experience
  3. Corporate social media experience
  4. Experience using Mailchimp or other newsletter software
  5. Knowledge of Canadian Press Style Guide
  6. Knowledge of Filezilla or other FTP software

WORK LOCATION: CSI Pacific Victoria Campus @ 4371 Interurban Rd, Victoria BC V9E 2C5

COMPENSATION: $20/hour

WORKING CONDITIONS:

  • Primary work location is Victoria Campus office
  • This is a full time (37.5 hours/week) term position
  • Expected term is May 7-Sept 7
  • Ability to work nights and weekends during the Olympics (Jul 24-Aug 9) & Paralympics (Aug 25-Sep 6) is essential.  Ability to work all the way to and including September 6 is also essential.  Preference is to work every day of both events with time off in lieu in advance prior to the Olympics or between the events.
